I am the founder of Pace MediSystems, and a Certified SYSTEMologist based in Melbourne, with more than twenty years in medical practice management, including hands-on experience with Genie across several specialist surgical practices and a multi-location skin cancer group, and time as a Genie Solutions training consultant. I was good at my job, but being good at something and being smart about how you do it are not the same thing, and it took years of working harder than I needed to for that to sink in. That realisation sent me looking for a systemised approach.
My approach starts with documenting how a practice actually works today, not how you think it works. That process on its own usually surfaces the extra clicks, the extra steps and the layers nobody remembers adding, and it is the only way to work out what is actually worth automating, and where that automation should sit, whether that is inside your practice management software or in something that works alongside it. You cannot automate a process you have not documented; you would just be speeding up a broken process.
Today my work sits across three areas: documenting and improving practice systems, applying that same approach to Xestro implementation, and coaching practice owners and managers to lead with more clarity and confidence. On the Xestro side, that means covering the fundamentals properly (setup, configuration, data migration), then the parts that get skipped when a migration is treated as a technical task: redesigning the patient journey and mapping billing workflows around what the practice actually needs. It is an area I am actively building out, refining the approach as I go.
Practice management software is the one system nearly everyone in a practice touches: practitioners, reception, admin and usually finance too. Yet most practices only use a fraction of what it can do. As AI reshapes healthcare, that gap matters more, not less. The practices that thrive will not be the ones that resist automation; they will be the ones that document first, automate what is worth automating, and free their people for the one thing no AI can replace: real contact with patients.
Most people handed that job, whether it is a systemisation project or a software migration, are already stretched thin, running the practice day to day with no extra time carved out for it. My job is to hold the structure so you are not inventing it yourself while still keeping the doors open.

*The number of systems extracted within the three-month period depends on the needs of the business and the complexity of the systems being extracted. Typically, this number is between 10 and 15 systems.
As you can imagine, this question is a difficult one to answer. All businesses are different—from the level of products and services offered to the size of the organization. That said, typically, a business can see the positive impacts from the systemization of its operations within as little as 90 days.
While it’s important for the business owner to begin the process, it is really the team that will carry this process through to completion. The SYSTEMology process was actually designed for your team. Accordingly, we recommend that businesses have a minimum of three staff members and get them all involved. This could include full-timers, part-timers, and/or contractors. For larger teams, include your leadership team and department heads to drive this forward.
